ASC Babu — Privacy Policy

ASC Babu is an internal assistant app for ASC Group employees, providing answers about company directory, HR policies, services, and internal support requests. This policy explains what information the app collects and how it is used.

Who this applies to

ASC Group employees signing in with their work email, and guests using the limited "View as Guest" mode.

Information we collect

• Login: your email address, used to send a one-time login code. The code itself is not stored after it expires or is used.
• Guest access: if you use "View as Guest," we collect the full name, company name, and email address you provide.
• Directory information: employee name, email, phone number, office location, and department, sourced from ASC Group's own HR records, shown within the app to help colleagues find each other.
• Conversations: the questions you ask the assistant and the answers given, stored so you can revisit past conversations.
• Support requests: IT ticket, stationery, and courier requests you submit through the app are forwarded to ASC Group's internal SupportHub system.

How we use this information

Solely to operate the app: authenticating your login, answering your questions, showing directory information, and routing support requests to the right internal system.

Where your data goes — and where it doesn't

Nothing you ask the assistant is ever sent to a third-party AI service. The language model that answers your questions runs entirely on ASC Group's own server — your questions and our documents never leave ASC Group's infrastructure to reach an external AI provider.

The app does connect to other systems ASC Group already operates, only to power its own features: the internal Invoice Ticket System (client directory), Microsoft 365 / SharePoint (HR document and employee directory sync), and SupportHub (IT/stationery/courier requests). These are ASC Group's own systems, not external third parties.

Login emails are sent via a standard email delivery service, used only to deliver your one-time login code.

Data storage and security

All data is stored on ASC Group's own server in a Postgres database with row-level access controls, reachable only over encrypted HTTPS. Your session is stored securely on your device using your device's own secure storage.

Data retention

Conversation history is retained so you can revisit it; you can delete individual conversations within the app. Guest sign-up details are retained for account administration. To request deletion of your data, contact us below.

Children's privacy

This app is intended for ASC Group employees and business guests, not children, and is not directed at or knowingly used by children.

Changes to this policy

We may update this policy as the app changes. The "Last updated" date above reflects the most recent revision.

Deleting your account and data

Employees: your account is tied to your ASC Group employment record. Email manish.yadav@ascgroup.in to request account removal — this deletes your login access and stored conversation history. Directory information (name, email, phone, department) comes from ASC Group's own HR records and is managed separately by HR, not deleted by this request.

Guests: email manish.yadav@ascgroup.in from the address you signed up with, and we will delete your guest account and all associated data within 30 days.
